Presentation Guidelines

Oral Presentation Guidelines

While preparing their presentations, authors are encouraged (but not required) to utilize the conference template.

Speakers should plan to use the conference-supplied computers to present their material. PowerPoint and PDF are acceptable formats.

ALL presentations are to be submitted to kathleen@ballos.com by 12:00 noon (EST) October 8, 2024. No personal computers will be allowed. PLEASE REMEMBER TO BRING A BACKUP OF YOUR PRESENTATION WITH YOU. USB thumb drives are the only acceptable form of media to load on to the conference computer. Presentations should be submitted in PDF or PowerPoint only.

Use large enough fonts so that the material can be seen clearly from the back of the room (~60 ft). Please avoid crowded view graphs, which are difficult to see and explain. No more than 5 to 6 points should be made on a single slide. Please break up material.

Presentations, including Q&A, will be 20 minutes. Presenters should plan to speak for no more than 17 minutes to allow 2-3 minutes for questions.

Poster Presentation Guidelines

The Poster Session will be held on Wednesday, October 16, from 1:30-5:00pm. Presenters are expected to staff their posters through the entirety of the poster session, including the break.

For your poster, a board will be provided which measures 4’ high x 6’8’. wide. It is recommended to have your poster in landscape mode with a size of at least Arch E (36in x 48in) or A0 (about 84cm x 119 cm). Push tacks will be available to tack your paper to the poster. Please note: the conference supplied push tacks are the only means allowed for attaching your poster to the poster board provided.

The poster content should be in English. The title of your paper should appear at the top of your poster in CAPITAL letters that are at least 1 inch high. Below the title, put author(s), name(s), and affiliation(s). Use pictures, cartoons, and figures rather than text wherever possible. Bright colors greatly enhance the attention of the viewer.

Use text sparingly. State the main result of your paper in six or less lines using 3/4-inch-high letters. Make sure your text and labels/captions/legend in the figure are readable from 3-5 steps away. The flow of your paper should be from top left to bottom right. You may use arrows to lead through the paper.

Poster sessions are an excellent format for authors to present their papers and interact with conference attendees for in-depth technical discussions. In addition, attendees find that the poster session is a great way to sample many papers in parallel. For this reason, it is important that you display your message clearly and strikingly to attract people who would have an interest in your paper.

Prepare your poster well in advance of the conference. There will be no time or materials available for last-minute preparation at the conference.
